Sort out all incoming/outgoing Emails and correspondence. Take care of the confidential files, matters, and documents. Upholds strict confidentiality thereof.
Prepares company’s structure and project organization chart, reports and presentations.
Draft memos and letters for internal and external correspondence.
Coordinates organize & internal or external meetings; prepare & distribute Minutes of Meetings.
Handles administrative and legislative functions such as preparation up to finalization of business plan / commercial & technical proposal & review of contract details.
Manages Senior Manager’s diary: schedule and duly organize appointments, events, and meetings. Organizes details of travel arrangements including flights, visas, and accommodations. Accordingly, prepare, compile and maintain records and vouchers.
General Management (Administration) Functions:
Provide administrative support in the preparation of employment certificate, job offer, memos, correspondence, reports, schedules, confidential materials and various employee issues.
Organize events, flight reservations, hotel bookings and visa requests for Managers & staff in coordination with travel agencies.
Advertises the vacant positions in different portals. Screens of all the applicants resume being sent to the HR/GM or Department Heads and maintaining data base. Arranges interview schedules with the required department. Liaise with Manpower agencies for required additional manpower in the company.
Arranges drivers for sending/collection of documents as well as pick up/sending off of workers/staff to the airport.
Arranges/coordinates leave request, arrival, and accommodation of workers with the camp management.
Arranges employees training in accordance with ISO & company policy.
Public Liaison - providing information and feedback to Departmental managers/staff, Client and Supplier
In charge for petty cash fund, requisition of office supplies & pantry supplies.
Arranges/coordinates site/office MEP maintenance schedules.

Reporting to Technical Manager for projects/tender/contracts related issue. Maintains the record of Tender Documents (Inquiry, submitted quote, RFI, Supplier’s quote, tender log sheet, etc...)
Prepares and update Company’s Pre-qualification document and Company Profile.
Prepares Project Quality & HSE Plan, Method Statements, B.O.Q., Letter of intents, Sub-contract agreements for supplier under the supervision of Technical Manager.
Creates and manage highly confidential files and records systematically for easy retrieval and storage of all correspondence, reports, drawings, sketches, instructions, minutes of meetings, submittals, requests-for-information, material inspection request, method statement, risk assessment, material & drawing register, payment requests, variations and all project related documents.
Controls all Incoming and Outgoing Drawings / Documents and other Technical Reports. Ensure timely issuance & distribution of all the Drawings / Documents to concerned departments.
Electronic posting of records and maintain files for project daily attendance/manpower report.
Assists the appointed Management Representative in maintaining the ISO file/audit.
