Administration Manager
Manages the daily operations of the office and assisting the managing director of
the company;
Coordinating the sales teams by managing schedules, viewings, meetings, setting
appointments, tracking sales leads and customer inquiries, ensuring that sales-
people have sufficient supply of flyers, brochures and other sales material;
Provide administrative assistance and general office duties to support Sales & Marketing (filing, sending emails, typing, faxing, copying). Prepare sales related documents throughout the sales process (proposals, offer letter, quotation and
contracts);
Collaborate with marketing department, conducting research to identify the best
clients for a specific project and assist in the preparation and organizing of promo-
tional material or events;
Monitor the team’s progress, identify shortcomings and propose improvements;
Serve as the point of contact for clients and communicate with them by phone and
email to respond to questions and requests in a calm and friendly manner and then follows up on any sales quotations made for clients, negotiating terms with the client at a cost best suited for them;
Develop and maintain positive working relationships with others, support team to reach common goals, listen and respond appropriately to the concerns of other employees;
Prepares tenancy contract, different Forms from Dubai Land Department and property purchase agreement or FORM F for every deal of property, business cor- respondence/letters and salary information file for employees monthly salary transfer;
Handles the CRM & records all the properties details & listing in office database system for advertising and marketing;
Apply/Renew the employment visa of the employees;
Handles the tax invoices, petty cash, prepares commissions and receipt vouchers;
Coordinates with the building property management with regards to service charge and maintenance payment;
Handles the employee's records & important documents like preparing agents training, brokers exams, RERA li-
censed & renewal and other related activities in HR department especially in the recruitment process;
Handles the utility bills of the company like paying DEWA, Du, and Etisalat;
Ensuring that our clients/customers received the highest standard of service;
Other tasks that may be assign from time to time.
